If you can no longer participate in the event please refer to ‘Refund Policy’ and ‘Entry Transfers’ below to check your available options.
If you can’t find anyone to replace you and would prefer a refund of your entry fee we are able to provide:
• 50% refund if you advise us by email before Saturday 1st September 2018
• No monetary refund if you advise us after 11:59PM Friday 31st August 2018

In the event that the event course is, in the opinion of the event organisers, unsafe (for example by reason of heavy rain, high winds, fires, “acts of god”), organisers may, in their sole discretion, attempt to re-route the course, find an alternative shortened course or cancel the event. Organisers also reserve the right to cancel the event for any other reason which may include but is not limited to terrorism and war. If the event is cancelled, re-routed or shortened, no refund or transfer to another event will be made. Due to the scale of the event and travel & commitment involved by competitors, it is not practical to re-schedule the event to any other weekend.
TRANSFER OF ENTRY BEFORE 15TH AUGUST 2018
You are able to transfer your entry online to an acquaintance up to 11:59pm Tuesday 14th August 2018. You need to find the person yourself to transfer your entry to. You need to sort out payment between yourself and the person taking your entry.
TRANSFER OF ENTRY BETWEEN 15TH SEPTEMBER AND 29TH SEPTEMBER 2018
If you find someone to transfer your entry between 15th September and no later than 10 pm Thursday 29th September 2018 that is absolutely fine but please do not contact the event organizers. Instead, the transfer must be done at Race Check-In and will incur a €20 cash administration fee. You must ensure that you forward any event-specific emails to the new entrant. You need to make the new entrant aware that they must read the Competitor Briefing document. You also need to make the new entrant aware that their support crew, if one is being used, must read the Support Crew Briefing Document.
If you are selling an entry via a Late Entry Transfer you do not need to come to Race Check-In. Instead, the person taking your entry must bring the following to the ‘Transfers’ table during Race Check-In (whenever Race Check-In is open):
- their photo ID OR a copy of your event email confirmation
- a copy of a brief email or letter stating you are transferring the entry to them
- €20 cash transfer fee
- a signed copy of the Indemnity & Release Form
TRANSFER BETWEEN EVENT COURSES BEFORE 15TH SEPTEMBER 2018
If there are places available, transfers can be made between RED, BLUE and GREEN courses up to 11:59pm Friday 14th September 2018. Transfers cannot be made between the events after this date. If you are transferring downwards in distance; ie RED to BLUE or BLUE to GREEN, there is no refund of the difference in entry fee. If you are transferring upwards in distance, ie BLUE to RED or GREEN to BLUE you must pay the difference in entry fee plus €5 administration fee.
To check the possibility of transferring between the events, please email firstname.lastname@example.org. Include in the subject line of the email: ‘[Your Name:] Valamar Trail Request to transfer between event courses’. In the email, include your name, the event you are currently entered into and the event you would like to change to. You will receive a return email on whether it is possible to transfer between events and if so, how to go about making the change via the entry system.
Note that as there are strict number limits for each separate event, you will only be able to transfer your entry between the events if there are spaces available in your desired distance at the time. It is quite possible that events will be full and transfers between events will not be possible.
